Evendale Recreation Commission
April 21, 2005

Called to Order at 7:34am

Roll Call: Mike Flavin, Beth McDaniel, David Nichols, Molly McMahon, Michelle Gottschlich, Jeff Albrinck.

Recognition of Visitors: Rick Hasler & Kathy McGrath, from Tri-Health

Approval of Minutes:
Motion to approve minutes made by Michelle Gottschlich; seconded by Beth McDaniel.
Motion passed.

New Business:
Tri-Health Second Quarter Report-
·       Comments made by residents during the recent art exhibit, complimenting the number & variety of fitness programs.
First Quarter Results:
·       Prevention program has five participants, all felt they benefited by attending the program.
·       Race Across America Incentive Program ended with 29 of 53 patrons crossing America. One person requested an incentive program each month to help keep him motivated and using the center.
·       Two Massage Certificates will be given away in a drawing, to people who have come to the fitness center twelve or more times in April.
·       Group Fitness Survey has been distributed to members, and results should be ready for commission’s May meeting.
·       Silly Willy, a fitness class for pre-schoolers, was a huge success. No class during the summer, but the class will return in the fall.
·       Pilates program has added three classes.
·       Spinning started with five classes, we’re now up to seven.
·       Kelly Harrison is the newest trainer.
·       Looking towards second quarter:
Dance Classes for 6-14 year olds
Evendale 100 Incentive Program
Explosion sports conditioning program for 6-18 year olds

Old Business:
        No discussion

Director’s Report:
·       Policy sub-committee – Molly McMahon will email her schedule to Dave so a meeting date can be finalized. All sub-committee members should review the policy guideline manual in their binders.
·       Budget Sub-Committee will meet next week.
·       A Thank You note from Martha Carmody was read by all members. She thanked commission for sponsoring and promoting the Annual Art Exhibit. Many artists commented that Evendale has one of the best shows in the area. Three to four hundred people came on Friday night alone.
·       The SCS play equipment at the pool has been painted. A section of the zero depth area in the pool will be painted next week. The trellises are also being stained.
·       At a recent meeting, the Mayor mentioned the activity at the department, and just how many programs we offer, and how many people participate in our programs.~

Phi Lambda Pi Report:
·       Gatlinburg has 21 kids registered, and Myrtle Beach has 22 kids registered.
·       Awards Night is Saturday, April 30th.
·       Governing Committee elections have taken place; results to be announced at Awards Night.
·       Commission requests follow-up on:

Reunion for past Phi members
Texas Hold’em Poker night with the parents
Relay for Life participation

Open Discussion:
·       Bill Brewer is the new Princeton High School Men’s Basketball Coach and he is very interested in meeting with all the local recreation centers. He would like to work with the local recreation centers to encourage participation, helping coaches with fundamentals for each level. His hope is to create a “feeder” program for the school district program.

·       Review of the gym rental & usage policy. Many times a member has seen or heard that both gyms are being used and there is no time for residents to come and shoot, practice individually, or play-around. Concerns were expressed that we rent to teams that have one resident, or even no residents. We should consider doing away this. Expand this review and include all courts and fields. Dave stated the staff is making the best effort to make sure everyone using fields & courts is eligible and has a permit.
Someone used the soccer field and left it a mess. The kids on his team were tripping and falling in the mess left behind. The fields are getting overused. Everyone agrees the soccer & baseball fields are hard to police. Especially during basketball season, the times not being used by Evendale teams to practice is often filled with non-Evendale teams, members like to see these left open. Also, look at limiting not only length of usage time for non-Evendale teams but also the number of times any person or team can use the gym during a season or year. On the weekends, non-Evendale teams should not be allowed to rent or use the gyms, especially if the Multi-Purpose Room is set up for an event.

·       Marge Candy’s fitness center concerns were addressed at the last meeting. Mike wants to know if a response was set to her. Yes, it was.

·       The two window panels cracked, one in the fitness area and on e in the group exercise room - the engineers have been in, Dave continues to be in contact with them. The cracks in the panels are probably thermal in nature, and do not pose any type of hazard.

·       Adult Services –
Patty Grist recently sent letters soliciting financial donations for a marathon she is doing in the near future.  She is raising money for the Alzheimer’s Society. Letters were sent to Adult Service members, thus questions were raised regarding ethics of using her job to gain access to the Adult Services mailing list. Jeff will check with the Mayor about any possible violations of policies.


·       Mike Flavin thanked Jeff and Dave for addressing the soccer field(s) issue (playability), quickly.
·       An Evendale U-11 Soccer team was recently “smoked” by two teams from another community. (Scores of 11-0 and 10-0) A member felt the other teams were intentionally running up the score. Kristen is requested to check with the league about a rule against this type of play (like baseball’s run-rule policy, basketball’s policy, etc). If the league does not have a policy, make every effort to get one added.
·       A request was for the playground sandbox to be taken out (the bees love it and it makes a mess on the sidewalks). Sharon Woods has a playhouse which was packed with kids. Can we convert the sandbox to a similar house? Dave has a meeting next week with a group of playground specialist; he will address the issue with them. The playground is inspected quarterly and reviewed for change every couple of years. A complete cleaning of equipment is planned for this year.
·       Our next meeting is May 19th at 7:30am.

2005 Department Goals:
·       Youth Volleyball Program?
A summer camp will be held this year to judge interest in a league-type program.
·       Fun In The Sun using the Pavilion?
A schedule has not been published yet. More information coming.
·       Fitness & Pool Management Contracts
The department’s risk management insurance company responded with the same liability concerns that the Village solicitor responded with.
·       Grants for Trails?
Forms are due in February; Michelle would like to get started on them with Dave. She has already downloaded them from the Department of Natural Resources.
·       Shuffleboard at the pool –
Dave believes we can handle building this in house. Mike is curious what the cost would be to have an outside company build them.
Beth would like Dave to look into adding a play set over there in the grass area.
·       Five Year Master Plan -
All members should review the list in their Five Year Master Plan booklets and prioritize their top five. Each member should bring them to the next meeting.
The sledding hill mentioned on the list may depend on what happens with the old “Churchill” property.
